Position Overview:

Our client in Mental Health sector is seeking a Receptionist/ Office Administrator. In this role you will serve in a key role in creating a positive and welcoming environment for clients to deliver exceptional mental health services. Your responsibilities will include handling client interactions, managing appointments, and providing administrative support to ensure the smooth functioning of the front desk.

Type: Full-time Hourly and permanent

Duties & Responsibilities:

Receptionist handling and Client Coordination:

  • Answer general and new client calls promptly and professionally.
  • Greet and register clients, ensuring a warm and welcoming atmosphere.
  • Engage compassionately with clients to ensure they feel heard, accommodated, and encounter a great experience at all times.
  • Schedule appointments and manage clinic schedules efficiently.
  • Handle client check-in and maintain confidentiality of sensitive information.
  • Perform collections calls for delinquent accounts and handle payment transactions.
  • Offer client refreshments and contribute to a positive client experience.
  • Score and file feedback forms to gather valuable insights.

Administrative:

  • Prepare and organize new client electronic charts, ensuing accuracy and completeness.
  • Manage supply inventory and maintain a clean reception environment.
  • Monitor vendor services and handle distribution of correspondence.
  • Maintain a working knowledge of health care plan requirements for accurate assistance.
  • Billing responsibilities, including processing claims, collecting payments, and conducting financial transactions.

Staff Support:

  • Triage clinical team questions and provide support to the Client Care Coordinator during onboarding procedures for new hires.
  • Maintain proficiency in utilizing the Jane Software, Google Workspace, and other necessary tools.

Experience Requirements:

  • Minimum 1 year of experience in a similar role within the Mental Health or Healthcare industry.
  • Tech savvy with reception handling experience.
  • Experience in the Mental Health industry is preferred.

Educational Requirements:

  • High School Diploma or GED
  • Bachelor’s Degree (preferred)

Required Soft Skills:

  • Self-motivated, disciplined professional with a proven track record in managing complex tasks independently.
  • Uphold excellent time management and organizational skills, coupled with creative problem-solving abilities.
  • Proficient with English language for written, reporting, and verbal/oral communication skills.
  • Maintain a high level of professionalism, ensuring an uninterrupted work environment with a “can-do” attitude.
  • Discreetly handle sensitive information, prioritizing confidentiality and privacy in all client interactions.

Other Requirements:

  • Tech-savvy with the ability to handle office management and reception responsibilities.
  • Proven troubleshooting skills, skilled at addressing challenges and finding effective solutions.
  • Compassionate and people-centric approach.
  • Demonstrate a “Can-do” attitude

Nice to Have:

  • Previous roles that included hospitality front-line positions in formative years
  • Experience in working in a hybrid or remote environment

The pay range for this role is CAD $18.00 – CAD $25.00 per hour. Actual compensation will depend on a number of factors, including relevant experience, technical and soft skills, and other qualifications.

  • Data Management and Reporting: Oversee the generation of regular reporting metrics, supporting data requests crucial for clinic operations and decision-making.
  • Client Interaction: Supervise client inquiries and intake assessments, guiding the team in establishing rapport with potential clients. Address any issues related to scheduled therapy sessions and consultations to ensure smooth operations.
  • Scheduling and Outreach: Ensure efficient scheduling and allocation of appointments by managing the Care Team’s schedule and therapists’ schedules, while monitoring the waitlist. Lead proactive outreach efforts to guarantee potential clients receive exceptional service, even if they are not yet clients.
  • Policy and Procedure Updates: Collaborate with other managers to update and implement policies and procedures that enhance the overall customer experience.
  • Customer Service Excellence: Demonstrate and uphold exceptionally high standards for customer experience in all interactions with the Care Team to ensure clients feel welcomed, supported, and have their needs met proactively.
  • Issue Resolution: Effectively resolve escalated or challenging issues concerning the client’s experience to ensure client satisfaction.
  • Communication Management: Enhance the management of email inboxes, phone calls, live chats, and other communications from clients, referral sources, and therapists.
  • Administrative Support: Provide guidance and support to therapists on various administrative tasks, enhancing their ability to focus on client care.
  • Documentation and Compliance: Ensure compliance with documentation standards and regulations.
  • Social Media and Website: Contribute to social media content and website updates.
  • Reception Team Interviews: Conduct interviews for the reception (Volunteers) team.
  • Client Intake: Supervise the client intake process, ensuring a smooth experience for potential clients.

Qualifications:

  • Minimum of 5 years of experience in a client coordination role, preferably in a healthcare or related setting.
  • Bachelor’s degree in Social Work or Psychology, or related field (an experienced Mental Health Practitioner)
  • Proven ability to multitask, prioritize daily work alongside larger projects, and effectively manage employees.
  • Strong organizational and administrative skills.
  • Strong communication skills, demonstrating empathy, responsiveness, and resourcefulness in client interactions.
  • Compassionate and empathetic attitude towards clients and colleagues.
  • Ability to work collaboratively in a team-oriented environment.
  • Demonstrate “Can-do” attitude
  • Proven experience in team management.
  • Tech-savvy with the ability to handle office management and reception responsibilities.

The starting pay range for this role is $50,000-$60,000. Actual compensation will depend on a number of factors, including actual work location, relevant experience (internal or external), technical skills, and other qualifications.
